Business Development & Booking Coordinator

Weekend work is a requirement for this role due to the nature of our business, this works out to be around 2 shifts each quarter.
We're Access Bookings, the award-winning TV, film and media accommodation specialists. We've been in the business for over 35 years and have a combined staff industry experience of over 150. We are looking for a team member who is dedicated, proactive and passionate, who can handle whatever is thrown their way and work well under pressure whilst providing excellent levels of customer service, keen attention to detail and the ability to prioritise work.

Key duties and responsibilities:
Identify, qualify and contact sales leads and provide information on products and services to generate leads
Arrange appointments with clients and suppliers where needed
Track the success of sale leads and follow up on unsuccessful proposals to determine future improvements
Follow-up telephone calls – checking whether clients were happy with the service they received; and, in case they have any queries, inviting them to a meeting to manage out problems
Manage new enquiries from new productions, introducing clients who indicated their interest in the service to the Operations Managers, Assistant Operations Managers and Specialist Booking Coordinators
Keep up to date with productions and films in development in the region
Identify client reservation needs and determine appropriate reservation requirements for Cast and Crew at the best available rates and in the best available location
Process all reservation requests, confirmations, changes and cancellations received by phone, fax or email
Make and receive calls using appropriate etiquette
Effectively communicate between the client and service provider from start to finish of the request
Effectively communicate with team members and members of the management team
Ensuring all sales opportunities are maximised to support division and company financial results

Key performance indicators:
Answer calls within three rings
Acknowledge enquiries within five minutes
Provide options/confirmations/cancellations and amendments within two hours

Person specification:
Extensive experience organising travel and accommodation for television and film productions
Passionate about our clients and the film/TV industry
Up-to-date knowledge of what is happening in the entertainment industry and an understanding of how television and film productions work would be crucial
Must be at home in a hard-working, but engaging, team environment
Excellent interpersonal and customer-relations skills, offering flexibility to meet client visit requests
Substantial experience using GDS-based booking tools
Fully competent using the main IT software packages including Word, Access, Excel and PowerPoint with an eye for data analysis
Willing to go above and beyond to meet client's needs and not be phased by unusual or out-of-the-ordinary requests
Flexible when it comes to working hours, including evenings and weekends dependent on the needs of the client
Accuracy and attention to detail is key to ensure client requirements are met, and expectations exceeded
Experience working within the film and TV environment is necessary
